Where can I set the lead time for online bookings?

You can specify how far in advance pet owners can book appointments:

  1. Open Petleo Connect and log in.
  2. Navigate to Clinic > Booking rules & general information in the menu on the left.
  3. Under "Bookings in advance maximum possible until" you can set the desired period.

This helps you to better control scheduling - e.g. if you only want to allow short-term bookings.

Where do I set that new customers get more time for their appointment?

For new customers, you can schedule additional time, e.g. to take a medical history or conduct an initial intake:

  1. Log in to Petleo Connect.
  2. Go to Clinic > Booking rules & general information.
  3. Under "New customers require additional time from", you specify the additional duration for new patients.

Alternatively, you can also activate a freeze for new customers here - new customers will then not see any free dates in the booking calendar.

How can I determine which animal species and treatments are offered in my practice?

To define the animal species and treatments offered by your practice in Petleo Connect, proceed as follows:

  1. Registration: Log in to Petleo Connect with your access data.
  2. Navigate: Click on the "Clinic" tab in the left-hand menu.
  3. Select services: Under the "Appointment booking" section, select the "Services" item.
  4. Specify animal species: Here you can select the animal species for which your practice offers treatments. Expand the relevant categories and select the desired animal species.
  5. Assign treatments: Within each animal species, you can select specific treatments that you would like to offer.

Note: Make sure that at least one member of staff is assigned to each treatment offered so that it is available for online booking.

How can I enter specific information or questions for a treatment in the booking process?

To add additional information or questions for specific treatments during the booking process:

  1. Open edit mode: In Petleo Connect, navigate to "Clinic" > "Services" and edit the desired treatment.
  2. Add notes: In the editing window you will find the field "Notes for the appointment reminder". Here you can enter specific instructions or questions that will be displayed to the customer during the appointment booking.
    • Example: "Please bring your pet's vaccination record with you to the appointment."

How can I add a new treatment or edit existing treatments?

To create new treatments in Petleo Connect or edit existing ones:

  1. Access to services: Log in to Petleo Connect and navigate to "Clinic" > "Services".
  2. Add new treatment:
    • Click on the "Add new treatment" button.
    • Enter the name of the treatment and select the corresponding category.
    • Define for which animal species this treatment should be available.
  3. Edit existing treatment:
    • Search for the desired treatment in the list.
    • Click on the three dots ("⋯") to the right of the treatment and select "Edit".
    • Make the desired changes, such as adjusting the name, the category or the available animal species.

Note: Standard Petleo treatments cannot be renamed or moved to another category.

How can I add medical information about a patient and share it with the customer?

In Petleo Connect, you can add health data such as findings, X-rays or vital signs to the patient profile - and share them directly with the owner.

This is how it works:

  1. Prerequisite:
    Customers must agree to share their data with the practice when registering. (This option can be activated under Clinic > Digital patient admission.)
    You must make the setting in Connect under Digital patient admission - Settings > Additional information to allow access to the pet owner's data
  2. Call up the patient:
    Go to Customers, select the animal and open the ♡ Health tab.
    (If the tab is missing, the customer has not given approval.)
  3. Upload medical files:
    In the Files > Medical section, you can upload new documents such as PDFs, lab results or images.
  4. Set reminders (optional):
    Reminders - e.g. for check-up appointments - can also be stored directly in the patient profile.

How can I customize the registration questionnaire for customers?

In Petleo Connect, you can individually expand the questionnaire for customer registration - e.g. with questions about allergies, the type of housing or special features for home visits.

This is how it works:

  1. Log in to Petleo Connect and navigate to Clinic > Customer registration questionnaire in the menu.
  2. You can add new questions there - as:
    • Yes/No question
    • Multiple Choice
    • Free text field
    • Link or document
  3. You can specify whether a question is mandatory and whether follow-up questions should appear depending on the answers.
    • Example: If "Allergies known?" "Yes", the follow-up question "Which ones?" appears
  4. The order of the questions can be adjusted using drag & drop.

How can I add medical documents to a patient and share them with the owner?

To add medical information such as x-rays or vital signs to a patient in Petleo Connect and share it with the pet owner, please follow these steps:

  1. Registration: Log in to Petleo Connect with your access data.
  2. Customize customer registration:
    • Navigate to "Clinic" in the left-hand menu.
    • Open the advanced settings in the "Customer registration" area.
    • Activate the option to ask customers during registration whether they want to share their file with you.
  3. Customer view during registration:
    • During the registration process, the customer will now be asked whether they would like to share their data with your practice.
  4. Call up patient data:
    • Click on "Customers" in the left-hand menu.
    • Select the relevant customer and the associated animal.
  5. View health data:
    • Click on the "♡ Health" tab.
    • Note: If this tab is not visible, the customer has not agreed to share their data with you.
  6. Upload documents:
    • Under the "Files" section, select "Medical".
    • Click on the plus symbol to upload new documents.

What about vets who only treat certain animal species, cases or appointment types?

We are aware that some veterinarians, like practices, have individual ways of working. Some vets only attend certain appointments, need more or less time with their clients or only treat certain species or cases. We offer a range of customization options so that Petleo can meet the individual needs of your staff and their schedules.

How does Petleo ensure that the pet owner uses the online booking correctly?

To ensure that pet owners use Petleo correctly, we have established various setting options and mechanisms. As soon as a pet owner selects a reason for an appointment, such as a vaccination or a check-up, specific questions or a specifically set message can appear. This avoids potential misunderstandings. If necessary, it is also possible to request samples, e.g. stool or urine. All these processes are linked to a prompt from the patient owner and are triggered automatically by Petleo. Of course, this can be customized and set individually for each practice and clinic, and can vary depending on the type of appointment.

Will personal customer contact be lost as a result of the switch to online bookings?

Quite the opposite! The time you save every day with Petleo allows you to intensify personal contact where it is needed most. Your customers can conveniently book their routine appointments online whenever it suits them, freeing up your staff and also your phone lines for important appointments and emergencies.

Do pet owners need the Petleo app to book appointments online?

No, the pet owner can optionally download the app, but does not need it to book online appointments or for customer registration. In addition to some documentation options for your customer about their pet, the Petleo app also offers vaccination reminders, a digital pet ID card, a bidirectional health record and any other reminders. Use of the Petleo app is completely free of charge for your customers and is not mandatory.

How do the online appointment bookings from Petleo appear in my practice software?

Petleo is synchronized with your practice software in real time. This means that appointments booked online via Petleo appear immediately and in real time in your practice software. Thanks to clever development in collaboration with all our practice software partners, we have eliminated double bookings.

How does Petleo deal with new pet owners?

Thanks to intelligent configuration options, Petleo enables you to recognize new pet owners, schedule more time per new client in addition to the agreed appointment reason and assign new clients to the right vet. Petleo also recognizes new clients and automatically starts Petleo's digital new client registration after the appointment booking. In this way, a customer can register directly in your system, agree to treatment contracts, data protection and general communication, so that you already have all patient and patient owner data in your system before the appointment in a GDPR-compliant and legally compliant manner. Details, such as the existence of a specific insurance policy or the customer's preferred payment method, can also be requested. To prevent no-shows, Petleo sends automatic appointment reminders 24 hours before the start of the appointment. These can also contain individual information that you define. What happens if a pet owner tries to book an emergency online?

Petleo is intelligent and recognizes certain words that could represent an emergency. In these cases, the customer is informed that it appears to be an emergency and is asked to call the clinic. We have a wide range of trigger words for emergencies, such as "blood", "diarrhea", "vomiting", etc. The messages you display to your customers can be fully customized by you. For example, instead of displaying a message asking the customer to call you, you can refer them to another service or clinic that deals with emergencies. You can easily add this information so that the customer can take the necessary steps to help their pet.

Can pet owners determine the duration of the appointments?

No, pet owners cannot decide on the duration of appointments. The duration of each appointment type and when it can be booked is entirely up to you. All of our customizations are designed to give you full control over your practice's schedule while optimizing your workflow.

Can I deactivate online appointment booking for individual customers?

You can exclude certain customers from using the online booking tool in Petleo at any time. You can individually block and unblock customers in Petleo at any time.

What does 'active animal' mean, how are they counted?

With Petleo, the monthly costs are determined by a basic fee, which increases transparently and predictably depending on the number of so-called 'active' animals. An active pet means that a pet owner has booked and attended at least one appointment per year via Petleo (or has used one of our other functions such as registration). Each active pet therefore represents a pet that finds its way to you via Petleo within 12 months (from the date of the appointment).
